Do

Don’t put all the email addresses in the To or CC line. This gives everyone you send the email to your entire distribution list. Recipients are less likely to read your email if they have to scroll through pages of email addresses to get to the text of your message.

 

Put the email addresses in the Blind Carbon Copy (BCC) line. This protects your distribution list. Or use a Mail Merge option such as in a word processor to send the same email to many addresses individually.

 

Don’t send emails to people who have requested to be removed from your distribution list.

 

Keep track of people who have asked to be removed from your distribution list and remove them each time you create, or receive, a new list.

Don’t get fancy with a lot of graphics, including pictures, or hyperlinks to other websites.

Keep your message simple. Graphics will not appear in some email systems because of format or size. Hyperlinks also may not appear correctly.
