How do I search for a Subdivision?
1. You are sitting at the Quick Search screen. Choose Bay Beach (main area), Condo, Active, Bay Beach East (sub area) and then click on MORE next to the search button.
2. You are now in the Pro Search screen. On the immediate left at the bottom you see Subdivision. Click on it and you get the very famous and valuable table of subdivisions that you are used to and many of you requested. Choose your subdivision(s) and click SET. Right then you see how many properties match your search. Click Search to see the properties. DONE!
Will the photographer still take our front picture?
A: Yes. Every REALTOR® has that has the ability to enter their own listings also can add their own photos. The limit we are looking at right now is 9 photos or media. That made some people very happy and others very nervous. Nothing changes in the way BCAR makes use of the photographer. You may want to change the way you use him though. Burt Fowler is our photographer. He takes much better quality pictures than I do. He will continue to take the one picture like he always has. He has a couple of packages of services he would be happy to do special for you. Check with him on the prices. Email: gottasee@bellsouth.net
How do I pull Flash Sheets?
A: Those are called Hot Sheets. You will find it under the Search Menu. With just a little bit of practice you should see how to do this.
Where do I find out what listings are expiring?
A: That is under Inventory. If you are a REALTORÒ then you pull reports on your listings only. Pull a report on Actives and you will see the Expiration dates. The report is color-coded and the closest listings to expiring are at the top. This is very handy and easy to read. If you are an Office Manager you can either; just pull the report and see the same report for the whole office or you can enter an ID number and see only that persons listings.
Where do I see the extra layers of map information? Things like the flood zones and parcels.
A: Do your search in whatever manner you are most comfortable with. Now click on the address of the property you want mapped. Once you see the map you can click on the little box next to an item, like parcels. Click on the Refresh link at the bottom left of the map. WOW! Parcels! Now click on the ‘Info’ radio button on the left. If you click on a parcel your map will redraw and have a green bar on the top of the map. It shows the PID number and address of the property you clicked on. Clicking on the parcel number takes you to the tax rolls. Sweet, ain’t it? Try all the different layers by doing the same thing with each item on the left of the map.
How do I add photos or virtual tours to my property?
A: You must have the right access level to do these things. If you do, great. If you don’t then you need to see the Broker or the Administrative Assistant. Click on Maintenance across the top of the List-It window. Now enter the MLS number of the property and select ‘Add Photos/Media’. Just follow the on screen instructions. The one thing you must keep in mind here is that these are Public Photos. They should be treated in the same manner as ‘Public Remarks’. No information about the listing company, listing agent or links to company websites. Virtual Tours links or links to generic flyers about the home are perfect. You can also include links to other information like spreadsheets, Chamber of Commerce, City or County Government, sites that give neighborhood information, school web sites or statistical information sites. Let your imagination be your guide.
Do I need to go to a training class for this program?
We will not be able to teach people on a one-on-one basis especially over the phone. We don’t have the time and neither you nor us can see what the other person is doing and/or looking at. It was a three-hour class and people could see what was being talked about. If you have been to a class and you have a question, we may be able to supply you with the answer over the phone. If you have not been to a class then please hold your question until you do attend or ask someone in your office to help you. We will have a class once a week until everyone has been to a class or we can’t get enough people to sign up for those classes. Then Nick will fall back to his once a month class. Special classes will be offered to cover Advanced Tips and Tricks. Palm Pilot, mailing labels, IDX, etc.
When is the next training class?
As stated above we are going to try and have one a week until we don’t have enough people showing up. Please check the schedule online to see if the next one has been set up yet.
Why is the Password so hard?
A: Because you haven’t changed it! This is an easy thing to fix but you need to do it. As soon as you log on to the system you will see some options across the top of the window. One of them is ‘Setup’. Select it and the next screen that comes up is for all your personal information like contact numbers, email address, web site url and more. In all the classes that SEG taught they said that this is the FIRST place you need to go. So if you haven’t been there, go now. At the very bottom of the screen is a password button. Click it and make your password anything you want it to be. Passwords are case sensitive so be sure that you pay attention to whether or not you use any capital letters.
How do I find out if there is any Open Houses on a certain date?
Start with the Quick Search. Select the main area you need. Then enter a date
into the Min and/or Max columns of the Open Date field. Do your search. The
best reports for this information are in the report list as Open House.
I entered a Quick Search, looked at the listings and then
pressed the Back button to revise the search. All of the search parameters were
blank and I had to start the search over. This is very frustrating.
You need to update your browser. Version 4 of Internet Explorer does not keep
that information when you click submit. Internet Explorer version 5 does.
Why isn't there a list of Subdivisions to search from?
Subdivision is a "starts with" search, which means that you may enter
the beginning of a Subdivision Name and get every listing in a subdivision that
begins with what you've entered. This allows you to search multiple phases of a
subdivision without having to make multiple entries. When a listing is entered,
Subdivision is chosen from a list, so every subdivision will be entered the
same way.
I've added a listing and clicked on "Submit"
and it told me I needed to correct something and to press the "Back"
button. I press the back button and my listing is gone! Where did my listing
go???

How do I change the listing price?
To change the listing price, go to Change Listing Status on the Maintenance
menu. Any change that needs to show up on the Hot Sheet will be changed there.
